商务邮件遵循一种可预测的结构。一旦你掌握了这个结构和几个现成的句型,写邮件就不再是一件让人紧张的事。

0. 邮件主题
在这一切之前:先说明核心内容,如果需要对方采取行动,就把这一点写进主题里。

1. 问候语
- Dear Mr. Smith,(正式,已知道对方姓名时使用)
- Dear Sir or Madam,(正式,不知道对方姓名时使用)
- Hi Sarah,(友好,但在已经相识的情况下依然保持专业)
2. 写信的原因
要快速而礼貌地切入正题。
- I'm writing to ask about...
- I'm reaching out regarding...
- I wanted to follow up on...
3. 礼貌的请求
在英语邮件中,直接的命令句会显得很不礼貌——用下面这些句型来软化请求的语气。
❌ Send me the report. ✅ Could you please send me the report? ✅ Would it be possible to get the report by Friday?
说法越长,通常听起来就越礼貌:

最后一句很关键:正是说明了截止日期的原因,才让这种坚定的语气显得合理,而不是咄咄逼人。
4. 清晰地传达信息

- Just to confirm, the meeting is at 3 PM.
- For your reference, …
- To summarise: …——然后用列表呈现。职场邮件里,长段落很少有人会认真读完。
5. 礼貌的结尾
- Please let me know if you have any questions.
- Looking forward to hearing from you.
- Thanks in advance for your help.

提醒对方
英语在第一次提醒时语气温和,第二次则会更具体一些:
- Just following up on my email below.
- I wanted to check whether you'd had a chance to look at this.
- Sorry to chase, but I need an answer by Friday to keep this on track.
- Apologies if this has crossed with your reply.
Sorry to chase 是一个标准表达,能让你显得坚持而不失礼貌。
在邮件中表达拒绝
- Unfortunately, I won't be able to…
- I'm afraid that isn't something we can do.
- Much as I'd like to, I don't have the capacity this month.
- Would an alternative work — could we…?
正是提出的替代方案,让这个拒绝听起来不像是彻底关上了门。
在邮件中表达歉意
- Apologies for the delay in getting back to you.
- Sorry for the confusion — that was my mistake.
- Thank you for your patience.(比第三次道歉要好)
一次道歉显得专业;同一封邮件里道歉三次则会让人不安。
容易出错的技术细节
- Reply all——只有在所有人都需要看到回复时才使用。这是办公室里最常见的烦恼来源。
- CC——用于告知,不期待对方采取行动。BCC——隐藏收件人;用于大批量发送,而不是为了悄悄把某人加进对话里。
- 附件——要在正文中提及它(Please find attached…),并且在写正文之前先添加附件。
- 转发——检查一下下面的往来邮件:里面可能有不该让新收件人看到的内容。
语域由第一句话确定,并且要一直保持到最后一句。 用 Dear Ms Chen 开头,却以 cheers 结尾,会显得很随意——就像给一个只回两行字的同事发送一封过于正式的模板邮件一样。最可靠的原则是:参照对方最近一封邮件的正式程度来回复。

Dear Ms. Chen,
I'm writing to follow up on the proposal we discussed last week. Could you please confirm whether the budget has been approved?
Please let me know if you need anything else from my side.

一周之后,发一封提醒邮件:
Hi Ms. Chen,
Sorry to chase — just following up on the below. We'd need confirmation by Friday to start on schedule.
