How to Give Difficult Feedback and Push Back Diplomatically

At an advanced level, the challenge isn't grammar — it's tone. Giving feedback, pushing back on a decision, or negotiating all require language that's honest but doesn't damage the relationship.

Giving critical feedback

Sandwich the criticism between something genuine and a forward-looking suggestion.

• The overall structure is really strong. I do think the introduction could be tightened up a bit — maybe cut the first two paragraphs?
• There's a lot to like here. One thing I'd push back on is the timeline — it feels a bit ambitious.

Avoid blunt, unqualified criticism:

❌ This is wrong. ✅ I think there might be a gap here — have we considered...?

Pushing back on a decision

You can disagree with a decision without undermining the person who made it.

• I understand the reasoning, but I have some reservations about the timeline.
• I want to flag a concern before we finalize this.
• Can we revisit this? I think there's a risk we haven't fully accounted for.

Negotiating firmly but respectfully

• I hear what you're saying, but I don't think that works for us. What if we met in the middle?
• That's a tough ask on our end — is there any flexibility on the deadline?
• I'd like to push back slightly on that number.

Declining a request without burning a bridge

• I'm afraid that won't be possible right now, but I'd be glad to revisit it next quarter.
• Unfortunately, that's outside what we can commit to at the moment.

Escalating a disagreement professionally

Sometimes you need to signal that something matters more than a casual note conveys.

• I want to be direct about this because I think it matters.
• I don't say this lightly, but I have real concerns about this approach.

Every phrase above does the same thing: it separates the idea from the person. You can reject a plan firmly while still respecting the person who proposed it — that combination is what reads as both confident and diplomatic in English business culture.
